After you have shared a project and added external stakeholders, you manage who is on it from the project's Users settings page, in the External Stakeholders section. For how the feature works overall, see Stakeholder collaboration overview.
People from the company that owns the project can manage stakeholders. The External Stakeholders section appears only on projects your own company owns.
How to add or remove people on a stakeholder company
In the External Stakeholders section, find the company's card.
Click the pencil (edit) icon on the company's card.
To add more people, pick or type their emails and click Add User.
To remove one person, click the minus icon next to their name.
Click Update Access to save.
The company's card updates with the people who now have access.
How to remove a whole company from the project
Click the pencil (edit) icon on the company's card.
Click Revoke Access.
Confirm when prompted.
This removes all of that company's people from the project. Removing a stakeholder takes away their access to the shared project. It does not delete their Oversite account or their own company.
How to switch a project back to private
The private-or-shared choice locks while external users are on the project.
Remove every external company from the project with Revoke Access.
At the top of the External Stakeholders section, set Who should have access to this project? back to Private.
With no external users left, the private option is available again.
How to control whether stakeholders see draft inspections
By default, stakeholders see only approved and completed inspections.
In the External Stakeholders section, find the Allow Stakeholders to see inspections in Draft toggle.
Turn it on to let stakeholders see inspections that are still in draft. Turn it off to hide drafts again.
The change takes effect for the stakeholders on that project.
Troubleshooting
I cannot switch the project from shared back to private
The choice locks while external users are on the project. Remove every external company first with Revoke Access, then change the setting.
A stakeholder says they cannot see the shared project
Confirm the project is set to shared, not private. Confirm the company was added through the invite flow, not just listed as an internal user. If you just invited a brand-new person, make sure they have accepted the email invitation and set their password.
A removed stakeholder can still sign in to Oversite
Removing a stakeholder only takes away their access to the shared project. Their Oversite account and their own company stay in place. They will not see the project you removed them from.
