Stakeholder collaboration lets you share a single project with an outside company and invite their people onto it. You do this from the project's Users settings page. For how the feature works overall, see Stakeholder collaboration overview.
People from the company that owns the project can invite stakeholders. The External Stakeholders section appears only on projects your own company owns.
How to open stakeholder settings
Open the project you want to share.
Go to the project's Settings.
Open the Users page.
Scroll to the External Stakeholders section.
You can also reach this from the project dashboard. In the External Stakeholders area, click Invite Stakeholders, or the Invite link if you have already added some.
How to set a project to shared
Before you can add anyone outside your company, the project has to be shared. At the top of the External Stakeholders section you will see Who should have access to this project? with two choices.
Choose Private so only your company can see this project's data, or choose the sharing option so every external user you add can see it.
To check what sharing exposes, click the question-mark icon next to Who should have access to this project? to open the What is shared? panel.
Note: Once you add external users, the private-or-shared choice locks. To change it back, remove every external user first. See Manage and remove stakeholder access.
How to invite a stakeholder company
When a project is shared, the External Stakeholders section shows a card for the Project Owner and for the Project Contractor, each with an invite button. Agency companies also see an Invite CEI Stakeholder button.
Click the invite button for the role you want: Invite Project Owner, Invite Project Contractor, or Invite CEI Stakeholder. To add another contractor when one already exists, click Invite Another Contractor.
In the invite window, use Select or create a Stakeholder Company to choose the company. If the company is not listed, type its name to create it.
For each person, pick their email from the list, or type a new email address to invite someone who is not yet in Oversite.
For a new person, enter their First name and Last name. These fill in automatically for people who already have an account.
To add more people from the same company, click Add User and repeat.
Click Send Invitations.
The company and its people appear as a card in the External Stakeholders section, and the company shows in the External Stakeholders area on the project dashboard.
Note: A brand-new person (an email not yet in Oversite) gets an email inviting them to set a password and join the project. Someone who already has an Oversite account is added straight to the project and does not get a set-password email. They can open the shared project the next time they sign in.
Troubleshooting
I do not see the External Stakeholders section
The section shows only on projects your own company owns. If you are a guest on another company's project, you will not see it. Confirm you are on the project's Users settings page.
The invite buttons are missing
Set the project to shared first. The role cards and their invite buttons appear once Who should have access to this project? is set to the sharing option. The Invite CEI Stakeholder button shows only for agency companies.
The person I invited did not get an email
Set-password emails go only to brand-new people. Someone who already has an Oversite account is added without one and can open the project the next time they sign in. Ask the person to check their spam or junk folder.
I tried to invite someone but they belong to a different company
If an email address already belongs to a company other than the one you selected, Oversite will not add that person. Add their company as a stakeholder instead, then add the person from there.
