You export a pay request from its review screen to share it with the engineer and owner or to file it. Oversite produces the pay request as a PDF, which is the invoice document, or as a CSV.
All users can view and export pay requests. Creating and changing a pay request is limited to Administrators and Project Managers.
How to export a pay request as a PDF
Open the pay request and go to its review screen.
Choose which sections to include:
Turn on Include Material Certification PDFs? to add the project's material certification documents to the export. See Include material certificates in a pay request for how that package is built.
Turn on Detailed Payment Request to include the full item detail.
Toggle the Engineer's Signature, Prime Contractor's Signature, and Owner's Signature blocks on or off.
Turn on Daily Inspections List to add the list of daily inspections billed on the pay request.
To set the line item order, use the Items control and choose Alphabetical, Numerical, or Upload order.
Click Download PDF.
The PDF downloads with the sections you selected.
Note: When a pay request includes many or large material certification documents, the export runs in the background so it does not time out. Oversite shows a message that it typically takes a few minutes, then emails you a download link when the file is ready.
How to export a pay request as a CSV
On the pay request review screen, choose Export as CSV?.
Click Download CSV.
Open the file in a spreadsheet application.
How to rename a pay request
Use Edit Payment Request Name to give the pay request a name. The name appears in the pay requests list and on the exported document.
How to export the pay requests list
To export the whole list instead of a single pay request, open the project or group Pay Requests page and use the export buttons above the table to download the current list as a PDF or a CSV. The exported columns match what you see on screen.
Troubleshooting
The PDF did not download or is taking a long time. Large material certification sets are exported in the background. Wait for the email with the download link, which typically arrives within a few minutes.
A signature block is missing from the PDF. Turn that signer's signature block on in the export options before you click Download PDF. Adding the signature itself is covered in Add signatures to a pay request.
Frequently asked questions
Does anyone get emailed when I export a pay request? The only email Oversite sends for pay requests is the download link when a large PDF export finishes in the background. Submitting, approving, and marking a pay request paid do not send automatic emails.
