After the CEI answers an RFI (Request for Information), the contractor reviews the answer and completes the request. A CEI project manager can also complete a request at any time. Anyone on the project can track requests in the list and export them. This article covers completing a request, tracking requests, and exporting.
How to complete an RFI (contractor)
Administrators, project managers, and supervisors in the contractor's company can complete a request after the CEI responds.
On the project's RFIs page, open the request once its status is Response Submitted.
Review the answer in the CEI Response section.
Click Complete Request.
In the Complete RFI Request dialog, confirm.
The status becomes Request Complete. This cannot be undone, and the assigned CEI project managers receive an email confirming the request is closed.
How to complete an RFI (CEI project manager)
A CEI project manager (or above) can complete a request at any time, even before the contractor has responded. This helps when the question was resolved another way, such as in the field or over the phone, and no formal response is needed.
On the project's RFIs page, open the request.
Click Complete Request.
If the request has no submitted response yet, the confirmation is titled Complete RFI Without a Response and explains that the request will be marked complete without one. Confirm to proceed.
The status becomes Request Complete. This cannot be undone, and the assigned CEI project managers receive an email confirming the request is closed.
How to find and track RFIs
To open the requests for a project, open the Project Group that contains your project, click the Project name, then click RFIs. You can also open RFIs at the group level or across all your projects, where a Project column shows which project each request belongs to.
The RFIs page lists every request in a table with these columns: RFI #, Subject/Title, Ball in Court, Priority, Status, Date Submitted, Submitted By, Due Date, and Days Open.
The Ball in Court column shows whose turn it is to act. It appears highlighted when the request is waiting on you and in a calmer color when you are waiting on the other party.
To narrow the list, use the filter tabs above it: All, Draft, Submitted, In Progress, Response Drafted, Response Submitted, and Closed. Click a column header to sort by that column. Click any row to open a request and see its full details.
Note: The Draft tab is only available to users who are allowed to see drafts. Inspectors and Viewers do not see draft RFIs.
How to download a single RFI as a PDF
Open the RFI, then click Download PDF.
The PDF includes the request details, the CEI response, and the supporting documents. Any PDF attachments are combined into the same file. The Download PDF button is available once a request has been sent. It does not appear while a request is still a draft.
How to export the RFI list
From the RFIs list, use the export buttons above the table to download the list for reporting. You can export to PDF, or to a spreadsheet (CSV) file that you can open in Excel or another spreadsheet application.
Troubleshooting
The Download PDF button is missing. Drafts cannot be exported. Send the request first, and the Download PDF button appears.
A draft is not visible to someone who needs it. Drafts are only visible within the company that created them, and Inspectors and Viewers cannot see drafts. Send the request so the other party can see it.
