View, filter, and export submittals

Open the Submittals list in Oversite, read the table columns, filter by status, and export a single submittal or the whole list to PDF or CSV.

The Submittals list shows every submittal on a project in a table, along with its status, whose turn it is, and how long it has been in review. You can filter the list by status and export a single submittal or the whole list. Everyone on the project can view submittals and export them, though Inspectors and Viewers do not see drafts.

How to open the submittals list

Submittals live on each project.

  1. Go to the Project Group that contains your project.

  2. Click the Project name to open it.

  3. In the project navigation, click Submittals.

The Submittals page lists every submittal for the project. You can also open a company-wide Submittals list to see submittals across all of your projects. At the company-wide and group views, a Project column appears so you can tell which project each submittal belongs to.

What the table columns show

The Submittals table shows these columns:

  • Submittal # is the submittal number, with the revision label when it is a revision.

  • Rev # is the revision number, and shows 0 for the original.

  • Title is a short description of the submittal.

  • Contractor is the contractor the submittal belongs to.

  • Type is the submittal type.

  • Priority is High, Medium, or Low.

  • Status is the current stage in the review process.

  • Disposition is the reviewer's decision, once recorded.

  • Ball in Court is whose turn it is to act.

  • Due Date is the review due date.

  • Submitted is the date the submittal was sent for review.

  • Days In Review is how many days have passed since the submittal was sent.

  • Created By is the person who created the submittal.

How to filter submittals by status

On the Submittals list, use the filter chips above the table to narrow the list by status.

  1. Click a status chip: All, Draft, Submitted, Under Review, Approved, Approved as Noted, Revise & Resubmit, Rejected, or Closed.

  2. The table updates to show only submittals in that status.

Inspectors and Viewers do not see the Draft chip, because draft submittals are hidden from those roles until they are submitted.

How to export a single submittal

You can export any submittal that has been submitted, which is any status other than Draft. On the project's Submittals page, open the submittal.

  1. Open a submittal that has been submitted.

  2. Click Download PDF.

Oversite builds a PDF that combines the submittal detail sheet with its attached documents into one file. A Draft submittal cannot be exported to PDF.

How to export the submittals list

On the project's Submittals page, you can export the whole list.

  1. Go to the Submittals list.

  2. Click Export.

  3. Choose Export PDF Overview or Export CSV Overview.

The export contains the same columns shown in the table. Open the CSV file in Excel or another spreadsheet application.

Troubleshooting

A submittal is missing from my list. Check the status filter chips and switch to All, since a chip may be hiding it. Drafts are hidden from Inspectors and Viewers until they are submitted. Confirm you are looking at the correct project or scope.

I cannot download a submittal as a PDF. Only submittals that have been submitted can be exported. A Draft submittal cannot be exported to PDF, so submit it first, or export the list instead.

Frequently asked questions

What does Days In Review mean?
It is the number of days since the submittal was sent for review. It keeps counting from the submitted date, so it reflects the total elapsed time rather than only the time in the current status.

Can I use submittals on my phone or tablet?
Yes. You can access submittals from any device with a web browser, and the layout adapts to smaller screens. You can upload photos and documents directly from your device.
