Inspection Workflow

The different Inspection statuses and what they mean.

Inspections have 4 different states along with a locked and unlocked status that change as they are moved through a project. Only Project Managers and Admins can move an Inspection into any state.

Draft

  1. Can be edited.

  2. Items cannot be included on Pay Requests.

New Inspections are automatically created in the Draft state. In this state, an Inspection can be edited by anyone that has access to it, including an Inspector. The only time an Inspection can be edited, is when it is in the Draft state.


Submitted for Approval / Pending Approval

  1. Cannot be edited.

  2. Items cannot be included on Pay Requests.

Inspections in this state have been submitted by an Inspector for approval by the Project Manager. Inspections in this state cannot be edited, they can only be Approved or Denied by a Project Manager or Admin.


Approved

  1. Cannot be edited.

  2. Items can be included on Pay Requests.

Inspections in the Approved state have been approved for invoicing by a Project Manager, but have not been items from the inspection have not been included on a Pay Request yet.

Locked vs. Not Locked

Inspections become locked when their items have been included on a submitted Pay Request. Only Approved inspections can become locked.

A locked inspection is indicated by a small lock icon to the right of the row when looking at a table, and a small lock icon in the top right of the page when looking at a single inspection.

To edit a locked Inspection:

  1. Delete the Pay Request the inspection is attached to.

  2. Change the inspection to the Draft state.


Denied

  1. Can be edited.

  2. Items cannot be included on Pay Requests.

If a Project Manager denies an inspection, it will automatically move into the Denied state. In this state, the inspector who created the inspection will be alerted. The reason for denial provided by the Project Manager will be included in the alert for reference.

As soon as the Inspector opens or views the denied inspection, it will automatically be moved back into Draft state to allow the Inspector to make changes.


Archived

Sometimes it becomes necessary to remove an inspection from a project. This can be accomplished by changing the state of the inspection to Archived. In this state, the inspection data is still preserved and can be recovered, but it does not affect the project's item inventory, financials, or any other aspect of the project.
