Get Teams meeting transcripts and email meeting notes

After a Teams meeting, mark it Completed to retrieve the transcript, and email the meeting notes and action items to attendees.

After a Microsoft Teams meeting takes place, Oversite can retrieve the Teams transcript and email the meeting notes and action items to everyone who attended. Both happen from the meeting in Oversite once you mark it Completed. They apply to meetings that were created as Teams meetings, part of Oversite's Meetings feature.

How to get a Teams meeting transcript

Transcript retrieval runs for meetings that were created as Teams meetings.

  1. Open the meeting.

  2. Mark the meeting Completed.

Oversite retrieves the Teams transcript automatically and saves it with the meeting. Transcripts are not ready the moment a meeting ends. Retrieval can take several minutes while Microsoft finishes processing the recording. A transcript is only available if the meeting was recorded and transcribed in Teams. If Teams did not produce a transcript, none appears.

How to email meeting notes to attendees

You can email notes once a meeting is Completed, has notes, and has at least one attendee.

  1. Open the completed meeting.

  2. Click Email Notes to Attendees.

Every attendee you added receives the notes by email, including external email contacts who are not part of your Microsoft organization. If you have already sent them, the button reads Resend Notes to Attendees and the meeting shows when they were last sent.

Microsoft also sends attendees a calendar invite with the join link when the Teams meeting is first created, so they are notified of the meeting itself without any extra step.

Troubleshooting

A transcript never appeared

Confirm the meeting was created as a Teams meeting and was marked Completed. Confirm the meeting was actually recorded and transcribed in Teams, since without a Teams transcript none can be retrieved. Retrieval can also take several minutes after you mark the meeting complete.

I do not see the Email Notes to Attendees button

The button appears only when the meeting is Completed, has notes, and has at least one attendee. Add notes and at least one attendee, and make sure the meeting is marked Completed.

Why has a transcript not appeared yet?

Transcripts can take several minutes to appear after you mark a meeting complete. A transcript is only available if the meeting was recorded and transcribed in Teams, and only for meetings created as Teams meetings.

Who gets notified when I create a Teams meeting?

When the Teams meeting is created, Microsoft sends a calendar invite with the join link to all attendees, including external contacts. After the meeting, you can also email the meeting notes to attendees from the meeting page.

Can I send the notes again?
