What signers see when they get a signature request

What a recipient does after they receive a signature request email: reviewing and consenting, signing by drawing, typing, or uploading, declining, and reopening the document later.

When you send a pay request or change order for signature, each recipient receives an email with a private signing link. This article covers what they see and do after they open it, so you can tell a signer what to expect. Signers do not need an Oversite account, a password, or the Oversite app. Everything happens through the link in their email.

How a signer reviews the document and consents

The link opens a Review & sign page naming who asked the recipient to sign, the document, and the project, with a short summary.

  1. Tick the box agreeing to the Electronic Signature Consent. To read the full disclosure first, click Electronic Signature Consent, which opens it without leaving the page.

  2. Click Review document to open the document.

The document opens read only, with the signature lines at the bottom and a marker on the line the signer is responsible for.

Note: If the link was not meant for them, Not you? opens a Not the right person? page telling them to contact the sender. It deliberately reveals nothing about the document or the other signers.

How a signer signs the document

  1. Click Adopt & sign.

  2. In the Adopt your signature dialog, choose how to create the signature:

    • Draw to sign with a mouse, trackpad, or finger. Clear starts over.

    • Type to enter a name and have it rendered as a signature.

    • Upload to attach an image of a signature.

  3. Click Adopt & sign to apply it.

  4. Click Finish.

The signer lands on a You're all done page confirming the signature was recorded and listing where every signer stands. They also receive a confirmation email.

Note: On the Upload option, only PNG, JPEG, and WebP images are accepted, and the image is resized automatically.

A signer who is not ready can click Finish later. Their consent and progress are saved, and the same link works when they return. On a pay request, Detailed version shows the full line item detail.

How a signer declines or requests changes

  1. Click Decline / request changes.

  2. Enter a reason. A reason is required.

  3. Click Submit decline.

The sender is emailed the reason and signing pauses. The other signers are not notified.

Reopening the document after signing

A signer's link keeps working after they sign, so they can reopen the document read only and re-read what they signed. Signing links expire 30 days after they are sent, and every reminder resets the 30 days. Signers can sign from a phone or tablet as well as a computer, including drawing a signature with a finger.

Troubleshooting

A signer cannot apply their signature

Signers must tick the electronic signature consent box before signing. If they skipped past it, have them reopen their link from the beginning. On the Upload option, only PNG, JPEG, and WebP images are accepted.

A signer says the page tells them it is not their turn

The request is set to In order and someone ahead of them has not signed yet. They are emailed automatically when their turn comes.

A signer says their link does not work

Links expire 30 days after they are sent. Send a reminder from the tracking view to issue a fresh link. If you voided the request, every unused link was revoked.

A signer did not receive the email

Ask them to check their spam folder. The email comes from Oversite on the sender's behalf. If the status stays at Sent with no activity, the email address may be wrong. Void the request and send a new one with the correct address.

Frequently asked questions

Do signers need an Oversite account?

No. The link in the email is all they need. They never create an account or a password.

Can a signer reuse their link after signing?

Yes. The link keeps working and shows the signed document read only, so they can go back and confirm what they signed.

Can signers sign from a phone?

Yes. The signing pages work on phones and tablets, including drawing a signature with a finger.

What does a signer see besides the document?

The document itself, the signature lines, the name of the person who asked them to sign, and the project. They do not see your email address, the other signers' email addresses, or anything else in your Oversite account.

Are signers told when someone declines or when a request is voided?

No. Only the sender is emailed when a signer declines, and voiding is silent. Signing pauses for everyone, but the other signers are not contacted.
