Send a pay request for signature

Email a pay request to the engineer, prime contractor, and owner for electronic signature, choose the signing order, track who has signed, send reminders, void a request, and handle a decline.

A signature request emails a private signing link to the people who need to sign a pay request. Recipients open the link, review the pay request, and sign in their browser. They do not need an Oversite account or a password, and nothing has to be printed or scanned.

You can send one request to the Engineer, the Prime Contractor, and the Owner. On a pay request, the engineer row prefills with your own name and email, so you can sign by email like anyone else.

How to send a pay request for signature

CEI users can send a pay request for signature. Open the project and click Pay Requests in the project navigation, then click the pay request to open its review screen.

  1. Click Actions in the header.

  2. Click Send for signature. The Send for signature dialog opens with the pay request number and project name at the top.

  3. Under Recipients, tick the box next to each role you are sending to: Engineer, Prime Contractor, or Owner. Clear the box for any role you are not sending to.

  4. Enter a Name and an email address for each recipient. Both are required, and the email must be a valid address.

  5. Under Signing order, choose All at once to email everyone immediately, or In order to email each recipient only after the person ahead of them signs.

  6. Edit the Message if you want to. It is prefilled with a short request to review and sign, and it is included in the invitation email.

  7. Check the count at the bottom left, which tells you how many requests will be sent.

  8. Click Send request.

Each recipient receives an email with their own private signing link. The email comes from Oversite on your behalf, so a recipient who replies reaches you.

Note: Rows marked Already signed cannot be unticked or edited. That signer's signature is already on the document and counts toward completion, and nothing is emailed to them.

Should I use All at once or In order?

Use All at once when the signatures are independent and you want the document back quickly. Everyone is emailed immediately and can sign in any order.

Use In order when one party needs to see another's signature first. Only the first recipient is emailed, and each following recipient is emailed automatically once the person ahead of them signs. Drag the recipient rows by the handle on the left to set the order.

How to track who has signed

Signing progress lives in the same Actions menu you sent from. Open the pay request review screen.

  1. Click Actions. A row labeled Signature request shows the current status.

  2. Click View details to open the full tracking view.

The tracking view lists every signer with their name, role, email address, current status, and the date they opened or signed the document. It refreshes on its own while a request is in progress, so you do not need to reload the page. The Actions button also carries a badge showing how many signatures are still outstanding.

A request moves through these statuses:

Every signature is in. A signed copy is filed in the project File Cabinet.

Declined

A signer declined and gave a reason. Signing is paused until you act.

Voided

You cancelled the request. Every outstanding link has been revoked.

Each signer shows one of these statuses:

The invitation email has gone out and the link is live.

The signer has opened the document at least once.

The signature has been captured, with the date and time recorded.

The signer refused and gave a reason.

How to remind a signer

Open the tracking view for the pay request.

  1. Click Remind on the row of the person you want to nudge. To remind everyone who has been sent the document and has not signed, click Remind all pending.

Each reminder emails the signer a fresh link and resets their signing window to 30 days.

Oversite also sends automatic reminders as a backup. A signer who has not signed within three days gets a reminder, then a second one at most, spaced at least 72 hours apart. Your own reminders are not capped.

Note: You can remind the same person once every 24 hours. If you try sooner, the tracking view tells you the reminder was skipped.

How to void a signature request

Voiding cancels a request and kills every signing link that has not been used. Open the tracking view for the pay request.

  1. Click Void request.

  2. Read the confirmation and click Void request again.

The request moves to Voided. Signers who have not signed can no longer open their link. Signatures already captured stay on the document.

Note: Voiding cannot be undone, and signers are not told the request was cancelled. Let them know yourself if they are expecting to sign.

What to do when a signer declines

When a signer declines, they must give a reason. Signing pauses for everyone, you get an email with the reason, and the request moves to Declined. The other signers are not notified.

Once you have addressed the reason, you can start over:

  1. Open the tracking view.

  2. Click Resend request.

This creates a fresh request with new links. Anyone who had already signed keeps their signature and is not emailed again.

Where the signed pay request goes

Once every signature is in, the request moves to Completed and Oversite files a signed copy of the pay request in the project File Cabinet, credited to Oversite's e-signature service. Everyone who signed, plus you, receives an email with the signed document attached. If the file is too large to attach, the email includes a download link instead.

Troubleshooting

I cannot find Send for signature in the Actions menu

The signature controls are available to CEI users. Other users see the pay request without them.

A signer says their link does not work

Check the signer's status in the tracking view. If the request was voided, every unused link was revoked. Links also expire 30 days after they are sent, so send a reminder to issue a fresh one. If you voided and resent the request, the old email carries a dead link and the signer needs the newest email.

A signer says the page tells them it is not their turn

The request is set to In order and someone ahead of them has not signed yet. They are emailed automatically when their turn comes.

Nothing has happened since I sent the request

Check the signer's status. Sent with no activity often means a wrong email address. Void the request and send a new one with the correct address. It is also worth asking the signer to check their spam folder, since the email comes from Oversite on your behalf.

My reminder did not seem to send

The same signer can be reminded once every 24 hours, and the tracking view reports when a reminder was skipped. A signer showing Awaiting holds no link yet, so they cannot be reminded.

The completion email never arrived

Check the project File Cabinet for the signed copy. The document is filed even when the email does not go out. Confirm the request reached Completed in the tracking view.

Frequently asked questions

Do signers need an Oversite account?

No. The link in their email is all they need. They never create an account or a password.

Can I send more than one signature request for the same pay request?

Not at the same time. A pay request can have one live request. Void the current one or wait for it to complete before sending another.

Can I change the recipients after sending?

No. Void the request and send a new one with the corrected recipients. Signatures already captured are carried forward.

Does editing a pay request cancel the signatures already on it?

No. Signatures stay on the document when its amounts change. Review a document before sending it out, and send a fresh request if the numbers move afterward.

How long is a signing link good for?

30 days from when it was sent. Every reminder resets the clock.

Where do I find the signed copy?

In the project File Cabinet. It is filed automatically when the last signature comes in, and it is attached to the completion email.
