Material Certifications track how much certified material you have documented against how much your placed quantities have used, on each project item. You add and manage certifications from an item's certification window. This article covers adding a certification, flagging an item that needs one, viewing usage, editing, and deleting.
Administrators, Super Admins, and Project Managers can add, edit, and delete certifications. Other roles can view them.
How to add a material certification
On the project's Items page, find the item and click its Add Certification indicator to open the Material Certification window. The window shows the item name and the item's Original Quantity for reference.
Click Add a certificate to expand the certificate form.
(Optional) Enter a Material Name. If you leave it blank, it defaults to the item name.
(Optional) Enter a Usage Rate, how much certified material is used for each unit of the item that is placed. It defaults to 1.
Enter a Certified Quantity. This is the only required field. Warnings appear once placed quantities use this amount.
(Optional) Attach a certificate file. Drag and drop the file into the upload area, or click to browse. You can attach one PDF or spreadsheet file per certificate (PDF, XLS, XLSX, ODS, or CSV), up to 135 MB.
To add more certificate documents for the same material, click Add Another Certificate and fill in the next certificate's details.
Click Save Material Certification.
The item's certification status then updates on its own, based on how much of the certified quantity your placed quantities have used.
How to flag an item that needs certification
If you know an item will need certification later but you do not have the documents yet, you can flag it now from the item's certification window.
On the project's Items page, click the Add Certification indicator on the item.
Turn on the Needs certificates? toggle.
Click Save Material Certification.
The item is flagged for attention with a red Check Certifications status until you add the certification details.
How to view an item's certifications and usage
When an item already has certifications, clicking its indicator on the Items page opens the Material Certifications window in view mode. For each material you see:
A usage bar showing the percentage of the certified quantity that placed quantities have used. The bar is green when usage is low, yellow as it approaches the certified quantity, and red once it passes it.
A summary of how much has been used out of the certified total.
A Download button for each attached certificate document.
If placed quantities have passed the certified quantity, a banner at the top of the window shows how many units are not yet certified.
To make changes, click the gear icon next to a material, or click Add a Material Certification to add a new one. Click Close to exit the window.
How to edit a certification
On the project's Items page, click the item's indicator to open its certification window.
Click the gear icon next to the material you want to change.
Update the Material Name, Usage Rate, or a certificate's Certified Quantity.
To replace a certificate document, drop a new file into the certificate's upload area, which reads Drop to replace, or click to browse.
Click Save Material Certification.
Note: Once an item has been billed on an invoice, its certifications are locked. You can still add a new certificate, but the Usage Rate and Certified Quantity of a locked certificate cannot be changed.
How to add another certificate for the same material
A single material can have more than one certificate document. Their certified quantities are added together into one certified total for that material.
Open the item's certification window and click the gear icon next to the material.
Click Add Another Certificate.
Enter the new certificate's Certified Quantity and attach its document.
Click Save Material Certification.
How to delete a certificate
Only Administrators, Super Admins, and Project Managers can delete certificates.
Open the item's certification window and click the gear icon next to the material.
Click the trash icon next to the certificate you want to remove. The certificate is deleted right away.
Deleting a certificate cannot be undone. If you remove the last certification on an item, the item returns to the Add Certification status.
Troubleshooting
I cannot add, edit, or delete a certification.
Only Administrators, Super Admins, and Project Managers can add, edit, or delete certifications. Other roles can view them.
I cannot change the usage rate or certified quantity.
The item has most likely been billed on an invoice, which locks the certification. You can add a new certificate, but the locked usage rate and certified quantity cannot be changed.
My file upload was rejected.
Check that the file is a PDF, XLS, XLSX, ODS, or CSV, that it is under 135 MB, and that you are uploading one file at a time.
An item shows Check Certifications in red, but nothing has been placed against it.
This is expected until quantities are placed against the item through daily inspections and a certified quantity greater than zero is set.
Frequently asked questions
Can I add more than one certificate for the same material?
Yes. Certificates that share a material name are grouped together, and their certified quantities are added into one certified total.
What file types can I attach?
PDF, XLS, XLSX, ODS, and CSV files, one file per certificate, up to 135 MB each.
Why can I not change a certification's certified quantity?
Once the item has been billed on an invoice, its certifications are locked so the certified basis cannot change after billing. You can still add a new certificate.
Who gets notified when I add or change a certification?
No one. Certification changes do not send notifications and do not create an entry in the activity feed.
