Create, edit, and delete a stockpile

Step-by-step for recording a stockpile, setting its partial payment, editing it, and deleting it, plus what to do when a stockpile is read-only or an item won't appear.

A stockpile records material that has been delivered and stored on site but not yet installed, so you can bill for its value before it is placed. This article covers creating a stockpile, editing one, and deleting one. For how stockpiling works and how stored material is billed, see the Stockpiling overview.

Administrators, project managers, and inspectors can create, edit, and delete stockpiles. Viewers can see stockpiles but cannot change them. Stockpiling must be enabled for the project before you can add stockpiles.

How to create a stockpile

On the project's Items page, open the Stockpiles tab. In the group-wide stockpiles view, a Select a Project field appears first so you can choose which project the stockpile belongs to.

  1. Click Stockpile an Item.

  2. Choose the stored item under Select an Item. Only items that still have remaining authorized quantity appear in the list.

  3. (Optional) Set the storage location with Stockpile Approx. Address.

  4. Pick the Storage Start Date, the date the material was placed in storage.

  5. Enter the quantity stored in Total Stored Units. The field shows how many units are available to stockpile and caps your entry at that amount. The stored value appears as you type, based on the item's unit price.

  6. (Optional) Upload a Picture of Stored Material and a Picture of Receipt.

  7. Click Continue To Partial Payment.

  8. Enter the Partial Payment Amount, the dollar figure to bill for the stored material on a pay request. The amount must fall within the project's minimum and maximum partial payment limits.

  9. Click Complete Stockpile Payment.

  10. Choose whether to bill now. Click YES, create a project invoice now to start a pay request right away, or NO, I will create a project invoice later to bill on a future pay request.

The new stockpile appears in the Stockpiles table with its original quantity, original value, and partial payment. The partial payment shows as Ready to invoice until it is added to a pay request.

How to edit a stockpile

On the project's Items page, open the Stockpiles tab.

  1. Find the stockpile's row and click the edit (pencil) icon.

  2. Update the material details or the partial payment amount.

  3. Continue through the steps to save your changes.

Note: Once a stockpile's partial payment has been added to a pay request, the stockpile becomes read-only. You can open it with the view icon, but you cannot change or delete it.

How to delete a stockpile

On the project's Items page, open the Stockpiles tab.

  1. Find the stockpile's row and click the delete (trash) icon.

  2. Confirm when prompted.

The stockpile is removed from the table. You can only delete a stockpile before its partial payment has been added to a pay request. Once it has been billed, the delete option no longer appears.

Troubleshooting

I don't see the Stockpiles tab. Stockpiling is enabled per project. If the tab is missing, the feature is turned off for that project. Ask an administrator or project manager to enable it in the project settings while the project is in Draft.

I can't enter the quantity I want in Total Stored Units. The field caps your entry at the quantity available to stockpile. That amount is the item's authorized quantity, minus what has already been installed on approved inspections, minus what is already stockpiled. If the project sets a Maximum Storage Amount, that further caps it to a percentage of the authorized quantity.

My item isn't in the Select an Item list. Only items that still have remaining authorized quantity appear. An item that is fully installed or fully stockpiled will not be available.

I can't edit or delete a stockpile. Once its partial payment has been added to a pay request, the stockpile is read-only, which is expected. Otherwise, check that you have an administrator, project manager, or inspector role. Viewers cannot change stockpiles.

My photo upload didn't work. Upload one image at a time for the stored material and the receipt. Check your internet connection and try again.
