Oversite Voice lets you fill out a daily inspection by talking to it. You hold a microphone button, say a plain sentence such as "item 402, placed 30 tons of asphalt, two guys from Bell Construction eight hours," and Oversite turns what you said into proposed changes to the report. Each proposed change appears as a card you confirm or discard. Nothing is written to the inspection until you confirm it.
Everything you can do by voice you can also do by hand. Oversite Voice sits on top of the same inspection screens, so voice-entered data and hand-entered data are identical once saved.
In the app, Oversite Voice appears as AI Quick Entry. That is the label on the sparkle button you tap to open it, on the Quick Entry settings gear, on the AI Quick Entry sessions page, and on the AI Quick Entry section of the AI Usage tab.
What you can do with Oversite Voice
Hold the microphone and speak in plain sentences. There is no fixed list of commands to memorize.
Review every change on a card before it saves, and confirm or discard it.
Keep talking while earlier changes wait as chips, then work through them.
Ask questions about the inspection and get an answer back.
Tap any field in the report to narrow the conversation to that one field.
Take a photo, have a description written for it, and file it as an attachment or against a pay item.
Type instead of talking when a site is too loud.
Use guided prompts that ask one question at a time.
Undo most saved changes with one tap.
Review a recorded history of every session on the inspection, including the voice clips.
What Oversite Voice can change
Area of the report | What you can do by voice |
Qty Placed | Set or add today's placed quantity on a pay item |
Pay item measurements | Dictate a shape and its dimensions and have the measurement rows recorded and totalled |
Withheld Qty | Withhold quantity on a pay item, with a reason |
Remarks and Location Notes | Add to or replace the notes on a pay item |
Equipment | Log a piece of equipment with its Quantity, Active Hours, Idle Hours, and Comments, or correct one already logged |
Personnel | Log a crew's Workers and Hours Worked, or correct a labor line already logged |
Weather Notes | Replace the weather note |
General Comments | Add to or replace your general comments |
Custom note fields | Fill in one of your project's own note fields |
Location From, Location To, Controlling Operation, Repair Location | Update any of these report fields, and mark the day a weather day |
Photos | File a photo you just took, or change the description on one already attached |
Custom forms | Answer questions on a custom form, or clear a form's answers |
Copy a previous section | Copy the pay items, equipment, or crews from an earlier inspection onto this one |
Removals | Remove a logged row, or clear the text out of a report field |
Note: Copying a section brings across the list of what was on site and resets today's hours, worker counts, and quantities to zero for you to fill in. It replaces whatever that section currently holds, and it cannot be undone, so use it on an empty section.
There are two things Oversite Voice does not touch. It never fills in signature fields or attachment fields on a custom form. Fill those in on the form itself. And it only sees the inspection in front of it, so it cannot answer questions about contract totals, authorized quantities, invoice amounts, change orders, or the project schedule. When an answer would depend on any of those, it tells you the answer is outside what it can see rather than guessing.
How Oversite Voice fits into Oversite
Oversite Voice works on a daily inspection you are editing. It opens from the inspection wizard and is available on every step: Basics, Personnel, Equipment, Items, Attachments, and Review.
Daily inspections. Oversite Voice opens from the inspection editor. See Creating an Inspection and Editing an Inspection.
The same fields you edit by hand. Pay item quantities and measurements, equipment, personnel, weather, comments, custom note fields, photos, and custom forms are all reachable by voice, and each change lands on the same field you would type into.
The same saved data. A confirmed change is saved exactly the way a manual edit is, so approvals, exported reports, pay requests, and the inspection lock all treat voice-entered and hand-entered data identically. See Inspection Workflow for what each status means.
Who can use Oversite Voice
Oversite Voice follows your existing permission to edit the inspection. There is no separate role for it.
Situation | Can you use Oversite Voice? |
Your company has it enabled and you can edit the inspection | Yes |
Your company does not have it enabled | No. The launcher does not appear at all |
Your role does not let you edit the inspection | No. The launcher does not appear |
The inspection's status, a project lock, or an invoice prevents editing | No. The launcher does not appear |
You are offline | No. The launcher appears but is disabled and says it needs a connection |
Your weekly budget is used up | Not for voice or typed entry. Guided prompts and manual entry still work |
A change can only ever be written to the inspection you have open. Oversite Voice cannot reach another inspection, another project, or another company's data.

Troubleshooting
I do not see the sparkle button on an inspection. Either Oversite Voice is not enabled for your company, or you cannot edit that particular inspection because of your role, its status, a project lock, or an invoice. Confirm you clicked Edit inspection first, since the button appears in the editor. If the button is missing on every inspection, contact your Oversite administrator.
The launcher is greyed out and says it needs a connection. You are offline. Oversite Voice needs a connection and does not work offline. The launcher enables itself again when the connection returns. In the meantime, tap any field to enter and edit the inspection by hand.
Frequently asked questions
Does anything save before I confirm it? No. Every change is proposed as a card, and nothing is written to the inspection until you confirm that card. Closing the chat discards anything still waiting.
Does data I enter by voice behave differently from data I type in? No. A confirmed change is saved the same way a manual edit is, so approvals, exported reports, pay requests, and the inspection lock all treat the two identically. Nothing on the report marks a value as having come from voice, though the session record shows how it was entered.
Can I use it offline? No. Voice and chat need a connection. When you are offline the launcher is disabled and says so, and every field is still tappable for manual entry, which does work offline.
Can it tell me my contract total or how much I have invoiced? No. It only sees the inspection in front of it. For anything involving contract totals, authorized quantities, invoice amounts, change orders, or the schedule, it says the answer is outside what it can see rather than guessing.
